Suddenly, nobody wants to read 12 pages of “terms and conditions.” Until six months later, when someone discovers that the booking is non-refundable, overtime costs extra, or the venue access ends exactly when the baraat decides to arrive.
If you’re shortlisting wedding venues in Delhi, Gurgaon or anywhere across Delhi NCR, the contract deserves almost as much attention as the venue itself.
1. The Date, Time and Venue Spaces
Sounds obvious. It isn’t.
Your contract should clearly mention the event date, start and end time, setup access and the exact spaces included.
A venue promising “full property access” verbally means very little if the contract only mentions one hall.

2. Cancellation and Rescheduling

4. Guest Count and Capacity

The contract should specify the agreed guest capacity and how additional guests are handled.

5. Payment Schedule and Taxes
Don’t just look at the final number.
Check the advance, instalment dates, balance payment deadline and whether quoted amounts are inclusive or exclusive of applicable taxes.
A “great deal” becomes considerably less exciting when additional charges appear at billing time.
6. Damage and Security Deposits
Who pays if a guest damages venue property?
What counts as damage? When is the security deposit returned?
These details should be written down rather than left to interpretation.
7. Venue Rules

Check rules around timings, music, outside vendors, alcohol, parking, guest access and anything else that affects your event.
If a salesperson says, “Don’t worry, we’ll manage it,” ask them to put it in writing.
8. Force Majeure and Unexpected Changes
Life has a habit of ignoring wedding calendars.
Your contract should explain what happens if circumstances outside either party’s control make the event impossible or require rescheduling. A clear clause should address both the date and your payments.
9. What Happens If the Venue Can’t Host You?
Don’t only ask what happens if you cancel.
Ask what happens if the venue has an unexpected operational issue and cannot host your event.
A fair contract should explain the process for rescheduling, refunds or alternative arrangements.
